We have three meetings before the date we're planning.. there's no
reason I can think of why we can't do adequate prep at meetings and
in between by then.

A possibility, for sure. I'd trade away an hour of box assembly for
an hour of better advance prep, but that's just me. I'd be REALLY 
interested in seeing something that says we cannot, will not, or are
unable to do advance prep...

I'm waiting for an answer from the CofC on the time we want. They've
already acknowledged the message...
